1. Who we are
“Wheels”, “we” and “us” mean Wheels Rent A Car, with its head office at 6-3-869, 1st Floor, Tourism Plaza, Balayogi Paryatak Bhavan, Greenlands, Begumpet, Hyderabad, Telangana 500016. We provide chauffeur-driven car rental for personal and corporate travel in cities across India. “You” means the person making or travelling on a booking.
By using wheelsrentacar.com or confirming a booking with us by any channel, you agree to these terms, our privacy notice and our cancellation & refund policy.
2. Eligibility
- You must be at least 18 years old and able to enter into a binding contract under Indian law to make a booking.
- Bookings for minors must be made by a parent, guardian or other responsible adult, who is responsible for them during the trip.
- If you book on behalf of a company or other travellers, you confirm you are authorised to do so and that they accept these terms.
3. Bookings and confirmation
- A booking is confirmed only when you receive a booking reference from us by SMS, WhatsApp or email after payment (or, for approved corporate accounts, after we accept the booking).
- You are responsible for giving us accurate pickup and drop addresses, dates, times, flight details and contact numbers. Changes may alter the fare.
- Car categories are booked, not specific models. Pictures and model names are examples; the car you get will be of the booked category or higher.
- We will share your chauffeur's name, phone number and car registration before pickup. You can view and manage your booking at Manage booking.
4. Fares
- Fares are shown in Indian rupees (₹) with GST before you pay, along with what the package includes and excludes.
- Local packages include a fixed number of hours and kilometres (4 hours / 40 km or 8 hours / 80 km; minimum billing is the 4 hours / 40 km slab). Airport transfers are charged at a flat fare. Outstation trips are charged as shown for round trips or one-way drops.
- Kilometres and hours start and finish at our rental location (garage to garage). Outstation trips are billed on a minimum of 300 km per day, plus the chauffeur's daily allowance (bhatta) and night retention where applicable.
- Tolls, parking, state entry permits and fees, and similar charges are payable at actuals.
- Fares are worked out on prevailing fuel prices. If fuel prices rise, a “fuel price impact” charge may be added to the bill from the date of the increase: kilometres used ÷ the car's mileage (km per litre) × the increase in fuel price per litre.
- Extra kilometres, extra hours, night charges and waiting beyond any free allowance are billed after the trip at the rates on your booking. We send an itemised bill and a secure payment link for any balance, which is payable on receipt.
5. Payments
Online payments are processed by Razorpay, our payment gateway, and may be made by UPI, credit or debit card (including Visa, Mastercard, American Express and RuPay) or netbanking. We do not see or store your full card details. Only pay on wheelsrentacar.com or through a Razorpay payment link in the name “Wheels Rent A Car” — see fraud awareness. Approved corporate accounts may be billed on the credit terms agreed with them.
6. Your responsibilities
- Be ready at the pickup point at the booked time. Waiting beyond any free allowance may be charged, and a no-show is charged as set out in our cancellation policy.
- Treat the chauffeur with courtesy and do not ask them to break traffic rules, exceed speed limits, drive unsafely or exceed the car's seating capacity.
- Do not carry illegal, hazardous or prohibited goods in the car. The chauffeur may refuse to carry such items or continue the trip.
- You are responsible for the cost of any damage to the car, or of cleaning beyond normal use, caused by you or your co-passengers.
- Smoking and consumption of alcohol in the car are at the chauffeur's and our discretion and may be refused. Passengers who are abusive or intoxicated may be asked to leave the car.
- You are responsible for your luggage and belongings. Please check the car before you leave it; see lost & found.
7. Chauffeur duty hours and rest
For everyone's safety, our chauffeurs need adequate rest. On long days and outstation trips, please allow the chauffeur reasonable breaks and overnight rest. We may decline driving plans that would require the chauffeur to drive for unsafe periods or through the night without rest.
8. Delays and events beyond our control
We work hard to be on time, but we are not responsible for delays or failures caused by events outside our reasonable control, such as traffic, weather, road closures, accidents, strikes, protests, government orders, epidemics or natural disasters. If we cannot provide your booked car, we will offer a comparable alternative or a full refund.
9. Our liability
- To the extent permitted by law, our total liability for any booking is limited to the amount you paid for that booking.
- We are not liable for indirect or consequential losses, such as missed flights, trains, meetings or events, or loss of business.
- Nothing in these terms limits any liability that cannot be limited under applicable Indian law, including your rights as a consumer.
10. Changes and cancellations
You can change or cancel a booking through Manage booking or by calling our reservations desk. Charges and refunds follow our cancellation & refund policy.
11. Use of the website
Do not misuse the website: no attempts to gain unauthorised access, disrupt the service, scrape it at scale or make false bookings. Content on the site belongs to us or our licensors and may not be copied for commercial use without permission.
12. Changes to these terms
We may update these terms from time to time. The version shown at the time you confirm a booking applies to that booking.
